Doltone Hospitality Group (DHG) is committed to acting with integrity in all its commercial activities and relationships with its suppliers and customers. At a foundational level, DHG complies with all legislation, guidelines and regulations, and promotes sustainable initiatives in its operations and supply chain. As such, DHG extends similar expectations on compliance, core values, and sustainability to its supplier partners.
Across its portfolio, DHG aims to solidify its supply chain by progressing ethical and safe purchasing processes, promoting sustainable initiatives, and progressively developing monitoring tools on compliance and emissions risks.

DHG aims to source and purchase goods and services that satisfy its key objectives of sustainability, which incorporates initiatives that support ecological sustainability alongside financial and social responsibility.

DHG aims to establish long term partnerships with like-minded suppliers that can support the group and its clients with a holistic offering of competitive pricing, quality products, innovative sustainable practices, strong service levels and thorough business continuity plans.

SUPPLIER EXPECTATIONS
  1. Vendor Information
    • The Supplier must ensure that all company details provided to DHG are accurate, complete, and up to date always. This includes, but is not limited to:
      • Complete business name, address and registration details
      • Primary contact information (email, phone, address)
      • Product, commercial and Supply chain information
      • ESG commitments and initiatives
      • Bank account and payment details
      • Any changes in ownership, structure, or operational capacity
    • The Supplier must utilize Coupa’s Supplier Information Management (SIM) module to reflect any changes for DHG
  2. Supply Requirements
    • The Supplier must ensure that:
      • All Goods and/or Services indicated in the proposal are fit for the purpose for which goods or services of the same kind are commonly supplied and any purpose which Doltone Hospitality Group (DHG) makes known to the Supplier, and are accompanied by any necessary instructions, technical documents, operating and service manuals and applicable warranties.
        All Goods suppliers intend to supply DHG venues comply with all:

        • Specifications set out in the Proposal
        • Relevant standards
        • Legislative requirements
        • Insurance appropriate to the nature of the product or service supplied
      • Where the Supplier supplies food or beverage products, the Supplier will at its cost ensure that it obtains and maintains the Food Safety certification as outlined and notified by DHG.
  3. Ordering & Distribution
    • Direct Deliveries: It is mandatory for suppliers to deliver products and services direct to DHG venues to have supplier enablement capability or systems integration to Coupa for receiving Purchase Orders order and submitting Invoices.
    • Indirect Deliveries: For suppliers that manage their stock through a third party, ensure to inform DHG of who their nominated distributors are.
    • Return of Goods: If DHG claims that a Product supplied under is defective, DHG may return the Product to the Supplier (“Returned Product”).
    • The Supplier will then at DHG’s option:
      • replace the Returned Products free of charge, including delivery costs; or
      • credit DHG with the invoiced cost of the Returned Products; and
      • reimburse DHG for the cost of returning the Returned Products to the Vendor.
    • The Supplier will not be liable for any defective Products where the defect is caused by misuse or the negligence of DHG.
  4. Modern Slavery Compliance
    • The Supplier must comply with the Modern Slavery Act 2018 (Cth) and take reasonable steps to ensure that modern slavery does not occur in its operations or supply chains. This includes:
      • Implementing policies and procedures to identify and mitigate modern slavery risks within the supply chain
      • Training employees how to identify and report modern slavery risks
      • Immediately notifying DHG of any suspected or confirmed instances of modern slavery.
  5. Whistleblower Policy
    • The Supplier must maintain a whistleblower policy that:
      • Encourages reporting of unethical, illegal, or unsafe practices
      • Protects whistleblowers from retaliation or adverse consequences
      • Ensures reports are investigated promptly and fairly
    • Suppliers must also support DHG’s whistleblower policy and cooperate with any related investigations.
  6. Environmental, Social, and Governance (ESG) Standards
    • The Supplier is expected to operate in alignment with DHG’s ESG journey, including:
      • Environmental: Minimizing carbon emissions, reducing waste, and complying with relevant environmental laws
      • Social: Promoting fair labour practices, diversity, inclusion, and community engagement
      • Governance: Maintaining transparent business practices, anti-corruption measures, and data protection standards.
    • The Supplier must provide ESG-related disclosures upon request and demonstrate continuous improvement in sustainability and ethical practices.
  7. Confidentiality
    • The Supplier must ensure that its employees and agents do not, without the prior written approval of Doltone Hospitality Group (DHG), disclose or give to any person any Confidential Information gathered from DHG.
